Creating a Mood Guests Don’t Usually See

Most people experience event venues during the day: bright, open, and full of possibility, but not always emotionally immersive or decorated. Aly wanted to change that.

“I wanted it to feel very intimate and romantic with lots of glowy candles and low lighting overhead. When people come in to tour, its usually during the day or just started to get dark. With this open house, I wanted to create the feeling like it was a night away and highlight how it feels when you’re dancing with soft lighting. I was looking to find unique vendors and include experiences that we don’t usually have at the open house to show cool ways to enhance your event and make it feel like more you and what you want.”

By hosting the event just before daylight savings time began (a detail only an expert event planner would think of!), the team was able to lean into the earlier sunset, setting the tone for an evening that truly felt like a wedding reception. It’s a powerful reminder that timing alone can play a huge role in event experience design.

Designing Beyond the Expected

Aly intentionally looked for fresh inspiration and ideas that would push both the space and the vendor team in new directions.

“I first looked for images on Pinterest that spoke to me, that weren’t something you see at BASH often. I tried to find things that felt like ways to enhance the guest experience, since that is so important to clients right now. [Once I shared the “Starry Night” theme with our vendor partners] some vendors loved it so much that they created an entirely new setup just for the open house. For example, our photographer had her own light show happening which was night sky inspired.”

The creative freedom gave vendors permission to experiment, resulting in a more dynamic and elevated wedding open house in Indianapolis. It also reinforced one of BASH’s biggest strengths: its ability to act as a true blank canvas.

Instead of pushing lounge areas to the perimeter, this design pulled people inward — literally.

“We had a really cool seating area in the center of the room; when we’ve had these before, they’ve been in the corner which as cozy, but this was more of a focal point of the night. We had two half circle couches so it made a circular seating area, with our [in-house] hanging shelf with florals right above it, so that was really unique. I also used my Cricut to cut out wording and made a design that said ‘until the end of time’ right as you walked in the door.”

The result was a space that encouraged connection and movement, while layered details — from custom signage to projections — added personality and depth. It’s a perfect example of how thoughtful layout decisions can completely transform a Carmel, Indiana event venue.

While the design felt effortless to guests, the execution required a strategic balance between creativity and logistics.

Aly leaned into trusted relationships to bring the vision to life without overcomplicating the process.

“I relied a lot on vendors that are on our epic vendor list; ones that I knew could execute the vision I had without me having to specify the exact things I wanted. I knew they were going to do a great job, but would also be cool with making edits to accommodate what I was looking for. I also used a lot of our in-house decor which makes it more of a one stop shop for our clients.”

“Our DJ did a ‘happily every after’ projection on the wall which was really cool and something I asked to add-on last minute. They also did soft blue uplighting around the room which really set the mood as well. We also had a ballroom dance lesson company there, and she was doing little mini dance lessons throughout the night.”

“Our vendors are also experts when it comes to needing to pivot. One of our catering partners, Simply Served, had brought their food truck, but it was raining. They quickly shifted to having their staff come inside and pass appetizers throughout the evening.”

These additions gave guests something to do, making the event feel alive and engaging from start to finish.

The Details That Made It Memorable

Beyond the big-picture design, it was the smaller, more personal touches that truly resonated with guests.

“We had really cute custom cocktail napkins at the bar that had handwritten reviews from BASH – I loved that little detail. The place settings had a ribbon tied around the napkin with guests’ names on them. Little details like that elevated the event at little bit more, and are low-effort but high-impact touches that our clients can incorporate into their event as well.”

“Our wedding dress vendor, The Wedding Loft, had several beautiful gowns on display, we had a live painter capturing the evening, and then Flower Boys did a flower bar where guests could make bouquets which is always a hit.”

From interactive stations to thoughtful styling, these elements helped create a layered, immersive experience — one that guests could engage with in multiple ways.

At the heart of the event was a simple goal: to empower guests to design events that feel true to them.

“My hope was for our clients to feel inspired to do more of what they want to do. Not everyone needs a live painter, but if that’s something you really want, I wanted them to feel empowered and confident in how they allocate their budget.”

“It’s great to work with vendors that you work with all the time, but there were a few vendors that I recruited to further enhance the guest experience like the limo company and dance lessons. It was a great reminder that it’s amazing to also work with new vendors and find new offerings to refer to your clients.”
